Dear parents and guardians,
As you are aware, Special Funding Requests (SFRs) are how the PAC determines where to allocate the funds raised through the Christmas Fair and other fundraising efforts. Through the SFR process, parents/guardians, faculty and administration put forward ideas for programs, events, resources etc. to support the kids and enhance their school experience. This is a significant amount of money (25k this year) that provides huge benefit to our children. We strongly encourage you to participating by attending the May 15th, 2019 at 6:30pm meeting (childminding will be provided by the PAC by RSVP) and casting your vote. Even if you don’t submit an SFR, we encourage all parents/guardians to attend the SFR budget meeting – this is your opportunity to help decide how we allocate the funds. We are incredibly fortunate to have these kinds of resources to support our kids and it’s important for parents/guardians to participate in the decision making process.
We encourage you to complete a SFR form if you have an idea for a program, initiative, tools etc. that you think will benefit the students. By way of a bit of guidance:
· We tend to evaluate and prioritize SFRs based on the anticipated benefit to the highest number of students - so try to look for things that can benefit more than one class.
· If you are proposing a program that will take place during school hours/requires teacher participation etc. we strongly suggest that you socialize this with administration first to determine if it is something they can accommodate and if it aligns with current learning outcomes. New this year we require a teacher's name associated with your SFR if the program is to take place during school hours.
· Be sure to include a proposed budget. We cannot approve any SFR that does not have a budget (even estimated) included.

The following are the dates for submissions and voting:
April 17th – PAC General Meeting. This is a good opportunity to learn more about the SFR process and submissions if you have questions. We will also have an open forum at this meeting if you have other topics to discuss.
April 24th – SFRs are due. They can be dropped off at the office to the attention of the PAC Executive
April 27th – PAC Executive Meeting to review SFR submissions and develop draft budget/recommendations
May 1st – Draft SFR budget distributed to parents/guardians for review
May 15th – PAC General Meeting to vote on the draft SFR budget*Remember that any parent/guardian with a child attending Deep Cove School, who is not on staff at Deep Cove School, is a voting member.
